Collections &Covenant Enforcement
At Vine Management one of the many responsibilities of your association manager’s role is to complete regular community inspections. During those inspections, we will report violations of the Covenants, Rules, and Regulations and ARB Standards, according to the policy of the Board of Directors sets in place. When an issue is reported, we will provide notice to the homeowners whose properties are out of compliance. We will then work with the homeowners to resolve the issue in a timely fashion. We track accounts from the day of delinquency, through the lien and foreclosure stages. Sometimes it is necessary partnering with your association’s attorneys to implement aggressive collection efforts.
Vendor Relations
At Vine Management, we will negotiate with contractors/employees for necessary services (as indicated by the Board) including amenity management, landscaping, pool management, water, gas, electricity, access control and beyond. Also, Vine Management will obtain proposals for all necessary insurance including property, liability, directors’ and officers’, fidelity and umbrella coverages. We will coordinate the activities of association contractors and employees required for the operation and maintenance of the property. In addition, observe maintenance needs and contractor performance and take appropriate steps to authorize the necessary repairs and maintaining contractor standards.
Administrative Services
Some of the administrative services we provide:

Organize annual and special meetings of Owners including the preparation of notices, agendas and other necessary documents.

Organize meetings of the Board of the Association including the preparation of notices, agendas and other necessary documents.

Guide and assist the Board and Committees in the development of policies and procedures and in the performance of their obligations.

Advise and assist in the administration of the provisions of the governing documents.

Keep all records of the affairs of the association and the Board, including the Declaration, Articles of Incorporation, Bylaws, rules, and regulations, policies, minutes of meetings, copies of contracts, etc. All such records shall belong to the association.

Maintain registers of Owners, Officers and Directors and such other registers or schedules as required by the governing documents.

Attend to all necessary correspondence.

Assist in resolving individual Owner requests as they pertain to the administration of the association, its common elements and governing “Rules and Regulations.”

Administer the Association’s insurance portfolio including the filing of all claims.

Prepare welcome packages and HOA information.

Financial Services

Some of the financial services we provide:

Prepare an annual budget for consideration by the Board. The budget shall be based on prior operating expenditures, estimated future expenses and required capital replacement reserves.

Account for assessments and all other charges due by the Owners.

Notify Owners of any delinquency and take such reasonable action for the collection of the delinquent assessments as the Board may determine.

Make all disbursements from assessments collected for normal recurring expenses as provided in the budget and as approved by the Board.

Furnish monthly and year-end financial reports prepared on a modified accrual basis, which include all income and expenses and will reflect the net cash position of the association.

Assist with the annual audit.
